About The Role

About the Role

We are looking for a Community and Stakeholder Administrator (known internally as Community and Stakeholder Officer) to play a vital role in supporting the smooth and efficient operation of the organisation, internal meetings, and Swim England services. 

This role involves providing excellent administrative support to staff and customers, ensuring accurate and well organised services. You will be a dependable and approachable professional, committed to delivering first class administrative support.

Key Responsibilities

In this role you will:

  • Establish and maintain good working relationships with our customers, responding to emails, phone calls, and member queries in a professional and helpful manner
  • Administer all activities in relation to Swim England membership
  • Provide day to day first class administrative support, including for Board and committee members, such as scheduling meetings, preparing agendas, and taking accurate minutes
  • Organise and support designated governance and committee meetings, including coordinating invitations, circulating papers, and ensuring action points are followed up
  • Book meeting rooms, accommodation, and travel
  • Maintain up to date records and databases for the organisation and Swim England services
  • Play an active role in processing membership applications, including event licensing, permits, PWTAG, membership products, rankings, records and results, DBS checks, and data input
  • Track and process staff administration from end to end, ensuring compliance with SOPs and other regulations
  • Assist with reporting, collating feedback, and compiling information for management as required
  • Support the wider team with general administration tasks and projects as needed, such as staff conferences, awards, and administration of the Swim England Handbook and Hall of Fame
